How to Compress a Photo for Email

Most email services cap attachments at 25MB, and encoding overhead trims that further. Here's how to shrink a photo to send it as a real attachment, and how small to actually aim.

To compress a photo for email, open Compress Image, drop in your JPG, PNG, or WebP file, type a target into the "Target max size in MB" field, and download the smaller copy to attach. Most email services cap a single message at 25MB, so getting a large photo comfortably under that line is what lets it send as a normal attachment instead of being swapped out for a cloud link.

What is the email attachment size limit?

Both of the biggest providers draw the line at the same place. Gmail caps attachments at 25MB, and Outlook.com does the same. Go over it and neither service bounces the mail outright — Gmail moves the file to a Google Drive link and Outlook offers a OneDrive link instead, so the recipient clicks through to a cloud folder rather than getting the picture in the message.

The catch is that 25MB is the limit for the whole encoded message, not the raw file. Email carries attachments in a text encoding that adds roughly a third to their size, so a file that shows as 24MB on disk can push the message past the cap. Treat the real ceiling for the file itself as closer to 18MB, and leave headroom rather than aiming at the number exactly. A work or school account can also have a lower limit set by an administrator, so a 25MB attachment that leaves your outbox fine can still be refused by the recipient's server.

How to compress a photo for email

  1. Open Compress Image and drop in your photo. It accepts JPG, PNG, and WebP — a HEIC file straight off an iPhone has to be converted to JPG first, which is worth doing for email anyway since many recipients can't open HEIC.
  2. In the Target max size in MB (optional) field above the dropzone, type your target — a single figure like 5 is a safe attachment size that stays well under the cap. Setting a target switches the tool off the quality slider and tells it to work toward that number.
  3. Download the result and attach it. If the photo was already under your target, you get the original back unchanged; if it was larger, it comes back at or just under the size you asked for.

You can drop several photos at once — each is compressed toward its own target independently, which matters because attachments share one 25MB message budget.

What size should you actually aim for?

Under 25MB is the hard requirement, but it is rarely the size you want. A single photo that large clogs the recipient's inbox, downloads slowly on a phone, and eats into the shared budget the moment you attach a second one. For a photo someone just needs to see, a few megabytes is plenty, and setting a target of around 5MB gives you a comfortable margin with quality to spare. If you are sending a batch, divide your headroom across them — five photos at 4MB each already sit near the message limit once encoding overhead is counted. When the file has to reach the recipient at full print quality, that is the case where a cloud link genuinely beats squeezing it into an attachment.

JPG, PNG, or HEIC for an emailed photo?

For an actual photograph, JPG reaches a small size most efficiently, because it discards detail the eye barely registers — so Compress JPG is the direct route when your file is already a JPG. Keep PNG only for graphics that need crisp edges or transparency, like a logo or a screenshot of text; a photographic PNG is a large, stubborn file, and the compressor shrinks it by cutting colour depth, which can band a sky. If a PNG photo won't come down cleanly, converting it to JPG first usually wins. HEIC is the format to avoid sending at all: it is not universally readable, so convert it to JPG before compressing and your recipient can open it anywhere.

Everything happens on your device

Compression runs in your browser through the Canvas API. Your photo is re-encoded locally and is never uploaded to a server to be shrunk — it only leaves your device when you attach it to the email yourself. That is the point worth keeping in mind for anything private you are mailing: the shrinking step adds no extra place your file travels through.

Will compressing make the photo look worse to the recipient?
Not in a way most people notice at a sensible target. Because email limits are generous compared with a tiny upload cap, a target of a few megabytes usually keeps the full resolution and only nudges quality down. Visible loss shows up when a target is small enough to force heavy compression, which an email-sized target rarely is.

How do I email several photos without going over the limit?

Should I resize the photo instead of compressing it?
